To provide an efficient statutory function within the firm to include company formations in different jurisdictions, maintenance of statutory records; dissolution and liquidation of companies; certification and legalisation of documents; producing trust documentation and company and trust minutes/resolutions.
Assist with the implementation of measures to ensure consistency of approach and methodology wherever possible, having taken due cognisance of any differences in law or otherwise that may oblige us to have exceptions to this uniformity of procedure and process.
PRIMARY RESPONSIBILITIES
- Preparation of company and trust minutes as requested by the client handling teams.
- Form/Dissolve companies in accordance to the firms’ policies and procedures.
- Complete standard trust deeds/documents in accordance to the firms’ policies and procedures.
- Ensure all minutes are in the correct form and in line with the formats/templates of the time as periodically updated, from time to time, by Statutory, accurately signed by the relevant parties and CHS is accurately updated. Also, if applicable for foreign companies, filed promptly with the relevant registered agent.
- Assist the management team to ensure that all sections of the GTOM manual that relate to company and trusts and company/trust issues are up to date and continuously reviewed and updated as necessary and to inform the user base accordingly.
- Exception reporting to ensure quality of information.
- Effective control of the workflow within the department.
- Mentoring and developing junior members of the Statutory team.
- Report as required to the Statutory management team.
KNOWLEDGE AND SKILLS REQUIRED
- Hold or be studying for an internationally recognised professional qualification, ideally an, Associate of the Chartered Institute of Secretaries and Administrators or Member of the Society of Trust and Estate Practitioners.
- Have at least 3-5 years practical experience in Trust and Company administration
- Have the technical knowledge and ability to competently carry out all required functions within the department.
- As a result of study and experience possess an excellent knowledge of Company and Trust Administration and Jersey, Guernsey & UK and other jurisdictions Company and Trust Law.
- Possess excellent interpersonal skills to allow for a good relationship with clients and colleagues.
- Have the ability to prioritise and organise work flows.
- Ability to communicate at all levels within the business.
- Ability to develop and mentor staff.
OTHER REQUIREMENTS- Familiar and proficient with IT programmes such as Word, CHS and Excel.
- Work on own initiative and make decisions within corporate policies.
- Ability to work under pressure and meet deadlines.
- Committed to getting the job done.
- Maintain the minimum CPD requirement if required.
