RESPONSIBILITIESThe main duties of this role will include but not be limited to the following: - Organising meetings with external / internal clients
Maintaining / managing diary Arranging travel General typing duties including audio typing Completing expense forms after business trips Collating information for meetings / board packs and distributing to relevant parties Answering telephone / taking descriptive telephone messages Sorting and distributing internal and external mail Maintaining / printing incoming faxes Preparing documents for signature / comment by management team and distribution Collation and distribution of information and documentation to clients Set up and preparation of presentations / meetings Taking part in ad-hoc project work Provide cover for other secretaries where necessary
KNOWLEDGE AND SKILLS REQUIRED- Ability to communicate professionally both verbal and written at all levels
Good knowledge of Microsoft Office products, email systems and Internet High level of accuracy and attention to detail Ability to prioritise effectively Able to complete key tasks in a timely manner Ability to work unsupervised Completer / finisher – ability to see tasks through to the end Good telephone skills Previous secretarial experience Discrete Good team player Good time management skills Proactive / uses initiative Flexible
