Responsible for the administration of a portfolio of companies and trusts an to ensure that the affairs of the client are managed in accordance with the relevant Manager/Partner

Responsibilities:

Administer a varied portfolio of companies and trusts in accordance with the firm’s Procedures Manual, taking responsibility for the proper performance of all necessary administration tasks required to comply with requirements of the client and relevant legislation.

Manage client relationships, conducting meetings as appropriate.

Ensure that the relevant Manager/Partner is kept informed of activities at all times.

Ensure that all resolutions for companies and trusts are prepared as required.

Ensure that all statutory returns are prepared and submitted as required.

Ensure that client files are correctly maintained and all relevant correspondence / documentation is accurately and regularly filed.

Ensure that all client requests / correspondence are dealt with in a prompt and efficient manner.

Complete client take-on documentation prior to commencing administration and liaise with relevant contact on hand-over of new clients.

Ensure that the Compliance Officer is kept up to date with changes to clients’ circumstances, i.e. services provided, resignation and appointment of directors.

Ensure that section diary dates are met.

Review aged debt and other financial information as required by the Finance Group.

Ensure that fee notes are prepared for clients as required.

Ensure that all financial information being sent to clients, which has been prepared in-house, has been approved by the accounting services manager.

Ensure that clients’ statutory records and the statutory database/register are up to date.

Ensure that companies and trusts are administered in accordance with the relevant laws and the internal procedures of the Group.

Supervise and assist in the training of any Assistant Administrator/Administrator allocated to them, providing regular information feedback and identifying any additional training needs to the relevant Manager.

Consider at all times the “Money Laundering” and “Know Your Clients” issues and report any concerns to the relevant Manager.
